What is Peppol and is e-invoicing becoming mandatory?

Peppol is an international network with shared standards for the secure exchange of e-invoices and other business documents, governed by OpenPeppol. You connect once through a Peppol service provider and can then reach every other participant, wherever they are in the world. More and more countries are making e-invoicing mandatory to fight VAT fraud and reduce administrative burden. A few examples: Belgium has required B2B e-invoicing via Peppol since January 2026, Singapore is phasing in InvoiceNow (Peppol) for GST-registered businesses, Australia and New Zealand use Peppol for invoicing government, and in the European Union e-invoicing becomes mandatory for cross-border B2B trade from 1 July 2030. What exactly is required differs per country: sometimes Peppol is the prescribed network, sometimes only the invoice format is fixed and invoices are exchanged through a tax authority platform, as in Mexico and Brazil.

What do Peppol providers cost on average?

Costs vary widely per provider and pricing model: per invoice, per bundle or by subscription. Small businesses with few invoices can often use an invoicing portal or accounting package with Peppol functionality, ranging from free to a few tens of euros per month. Companies with higher volumes or an integration with their ERP system usually pay hundreds of euros per month or more, sometimes with one-off implementation costs. So compare providers based on your own invoice volume and systems.

How long does a Peppol implementation take?

That depends on your systems and the chosen solution. An invoicing portal or accounting package with Peppol functionality is often up and running within a day. An ERP integration usually takes 1 to 2 weeks with a standard connector and 4 to 8 weeks for a custom integration. In practice, lead time is driven mainly by decision-making, testing with trading partners, training and the availability of the right people. So start well ahead of any legal deadline.

Do I need technical knowledge to implement Peppol?

That depends on what you choose. For an invoicing portal or an accounting package with Peppol functionality you need little to no technical knowledge. For an integration with your ERP system, many service providers and integration partners offer full implementation services. You will always need someone in your own organisation to steer the project and coordinate with the provider.

Are you independent or do you receive commissions from providers?

Peppol.nu receives no commissions on leads or contracts. You compare anonymously and contact a provider yourself, without any obligation. Providers do pay for their listing through a partner package (Free, Basic, Professional or Premium). All providers are compared on the same criteria; the package partly determines the order in the comparison tool and extra visibility, such as a profile page or a spot on the homepage.

What happens if I am not compliant by the deadline?

That depends on the rules in the country where you invoice. Many countries impose fines: in Belgium, for example, € 1,500 for a first offence, rising to € 5,000 for repeat offences. In countries where the tax authority validates every invoice in advance, such as Mexico, an invoice issued outside the system is not a valid invoice, so your customer cannot deduct the VAT and will often not pay it. Governments and business customers can also reject invoices that do not meet the requirements. So start preparing in good time.

Can I switch providers if I am not satisfied?

Yes. Your Peppol ID, usually based on your trade register or VAT number, stays the same: your new service provider takes over the registration in the Peppol network once the old provider has released it. You do need to set up integrations with your accounting or ERP system again. Plan the switch carefully so no invoices are lost during the transition.
