What is Peppol and why is it becoming mandatory?

Peppol is a European network for e-invoicing. More and more countries are making e-invoicing mandatory for B2B transactions to combat tax fraud and reduce administrative burdens. In the Netherlands, e-invoicing is mandatory for government contracts executed for the national government. Municipalities, provinces, and water boards are also increasingly mandating e-invoicing. In Belgium, the use of e-invoicing for government contracts is already legally mandatory. From 2026, it will become mandatory in Belgium for all business-to-business (B2B) transactions.
What do Peppol providers cost on average?

Costs vary significantly per provider and depend on factors such as volume and additional services that are purchased. Providers of Peppol e-invoicing solutions also use different pricing models. It is therefore very difficult to quote specific amounts, but roughly expect €50-500/month for small businesses and €500-2000/month for medium-sized businesses. Depending on which service or technology is purchased, there may be one-time setup costs of €500-5000.
How long does a Peppol implementation take?

This depends on your current systems and chosen provider. From a purely technical perspective, simple setups can take 1-2 weeks, while more complex integrations require 4-8 weeks. Do I need technical knowledge to implement Peppol?

This depends on what you are going to purchase. When purchasing a Peppol invoice portal, you need little to no technical knowledge. For integration projects, you can hire implementation experts who often offer complete implementation services. Of course, you will still need someone from your own organization to coordinate with. Are you independent or do you receive commissions from providers?

What happens if I am not compliant before the deadline?

Depending on the laws and regulations of a specific country, non-compliance can lead to fines, problems with government contracts, and business partners who no longer accept your invoices. In Belgium, for example, it is expected that from January 1, 2026, fines will be imposed that vary from €50-2500 per violation. Therefore, start preparing in time.
Can I switch providers if I am not satisfied?

Yes, you can switch between Peppol providers, but this requires new technical integrations and transferring your Peppol ID to your new Peppol Service provider.
